Optics

 

The optics system was developed as a module incorporated within the Priority system, where to the sales point was added the functionality needed for the optics world. A great deal of thought was put into the optics system’s development, which is based on knowledge acquired from the major, leading chains in this area.

 

  • Selecting an existing customer / establishing a new customer (attributed to a parent customer)
  • Finding and presenting existing eye exam
  • Creating a new exam, including: filling out a medical questionnaire, an eye exam / contact lenses exam (exams based on old glasses too); objective, subjective contact lens
  • Entering the prescription data (if received)
  • Creating an eyeglass / contact lens prescription or both
  • Selecting the type of frame and fitting lenses according to diameter, distortion, and optical data
  • Defining supply branches
  • Option of adding insurance
  • Defining supply dates
  • Values such as finishing, material, coating, color, frame specifications (height of eyepiece, width, etc.)
  • Creating an order charged to the customer at the sales point while importing the prescription details into the transaction
  • Down payment, with a predefined limit, according to percentage of total transaction
  • Updating of open orders

 

 

The ordering system has a tracking mechanism according to statuses selected between the various stages. As with any Priority system module, this mechanism enables control and monitoring of all processes  from producing the order to collecting the glasses by the customer at the branch. Full transparency exists with regard to each stage of the in-process order. This information is up-to-date and available to all authorized levels in the company, especially the branch team. A set of system reports has been added to the ERP, in order to assist in presenting the data in an easy and convenient way.

 

 

Special mechanisms have been developed, such as:

 

Tracking a shipment from the source point to the destination point, including inspection of shipment integrity upon its arrival at destination.

Online tracking of order execution (eyeglasses or contact lenses) by the customer, through the different stages of execution. The tracking enables determining statuses and laws of transition between them, while creating inventory and purchasing movements required for the process. Information on the order’s status is available at all times to all company levels, especially the branch team.

Giving a recommendation to purchase, in accordance with various types of glasses, and inventory norms defined at the branches. Consideration is given for the shelf life of each item, and planned inventory months.

Automatic calculation of benefits with respect to different item supplier campaigns, in accordance with the sum/quantity of the purchase.

Enables replenishing of inventory at the branch according to norms, with a predefined relation between new items and existing ones, and consideration for the shelf lives of each item.

The ability to realize the sales potential of each item by balancing of inventory among the branches. This is done while taking shelf days into account, and remaining within standard limits.

Defining and automatic calculation of bonuses and different remuneration methods on a monthly basis, while producing concentrated, detailed reports down to the transaction line level.
