Fashion product file module

The world of fashion behaves differently, and has its own peculiar needs, compared to other retailing areas. However, these special needs pose no small challenge to ERP systems.

The difference is expressed in issues such as:

  • Matrix structure of item hierarchy
  • Large number of end products unified according to model, and separated into colors and sizes
  • Large amounts of transactions (sales and inventory)
  • The seasonal nature of collections
  • Relatively short shelf life as opposed to ongoing model development, and more…

The fashion module provides a comprehensive solution for managing businesses in the fashion world. Its functionality is meticulously designed for and focused on end-to-end solutions for the fashion and textile industry.

Fashion product file module

Solutions for product lifecycle management:

Product file management

  • Defining the main cloth, including cloth composition and accompanying accessories
  • Drawing the sketch, and cutting and sewing instructions
  • Defining set of dimensions for measuring flat

Quick creation of Cat. No.

  • Defining possible specification (20 parameters) for a model (for example: type of item, measurement ruler, color of cloth)
  • Defining colors and measurement ruler and building Cat. No’s according to matrix
  • Saving a variety of model pictures of the, from different angles and model colors

Matrix of model colors and sizes

  • The main tool in this module is: model / color / size – matrix – a multidimensional table used to describe inventory movements
  • The table’s horizontal axis represents a wide range of sizes attributed to the model; the vertical axis includes a list of colors
  • The table cells serve to indicate the required quantity of each size / color combination

Tracking the development stages:

Supplier selection process

  • Managing correspondences with suppliers
  • Comparison of suppliers according to the following parameters: quality, keeping schedule and prices

Sample control

  • Receipt of samples from the supplier for inspection and quality control
  • Measuring flat and giving comments
  • Tracking of sample control including dates and lateness control

Tracking of model development

  • Defining development stages for tracking (such as: approval of colors, approval for production) according to season / year and purchasing track
  • Determining target dates, actual reporting and lateness control
  • Automatic alert mechanism for suppliers, to prevent lateness at the different purchasing stages

Procedure of purchasing from suppliers:

Defining a standard production process for items, while maintaining flexibility in reporting the production activity already performed; defining options for the default activities comprising the process.
Conducting negotiations with the selected supplier on quantities ordered, supply dates, and tracking the stages of determining cost prices.
Definition on the model or model/color level, representing the week the product is scheduled to be introduced for sale in stores. This is predetermined, before making purchase orders and determining supply dates.
Carrying out purchase orders as the immediate continuation of the pre-purchase stage, while noting ordered quantities according to colors and sizes, for series in a different structure correspondingly.

Receipt and distribution:

Receipt of merchandise from suppliers

Report of quantities received from a supplier in a matrix structure, while performing inspection as against the order.

Supply of wholesale / concessionaire customer orders

Priority enables the definition of product clusters that include different quantities of different products in different combinations. The list of ordered products may be transferred automatically from one sales document to another (quotations, orders, packing slips, and shipping documents) with corresponding quantities as needed, thus enabling prompt, efficient supply of the product.

First distribution to branches

Distribution of merchandise to branches according to a unique plan: planning of quantities, taking into account the needs of the stores, and different activity profiles of different stores, to the level of individual items at branches.

Managing series as an integral part of a matrix

The system supports managing of both virtual series and actual (physical) series;
work performed by packaging to reserve customer inventory and create packing slips only when loading.

Distribution planning

Defining a default for distribution on general customer level of branches; chain stores are classified according to store types (A/B/C) by size of store.
Type of item for distribution is intended for defining a group of models with the same measurement ruler and size ratio.
Option of defining for each customer (store) different types of distribution for different item types for distribution
Varied type for distribution; defining the size ratio between type of item for distribution and type of distribution.
Defining varieties on the customer level and on the model level or model/color level for the purpose of neutralizing the model’s distribution to some of the stores.
This determines an order of priority among the stores, either by sales or by a dictated priority.
Distribution plan for a first pushing that allocates series according to the customer’s definitions, model, and percent of completion, and determines the quantity required for production/purchase per season.

Completion of merchandise

  • A consolidated picking report per model / color / size for all items sold, that have inventory in the main warehouse.
  • • The picked merchandise is transferred to branches by recommendation, based on sales and priority of distribution, corresponding to accumulated sales.
  • Defining optimal inventory balances on the item / store level according to preliminary distribution, with option of sweeping change
  • For each item in the main warehouse, a suitability test is performed for optimum quantity in the store; if the store is found lacking, a recommendation for picking is given
Mechanism for completing inventory based on definition of minimum / maximum on the item / branch or series / branch levels
  • Analysis of previous season according to analysis of sales and enquiry of mix according to sales reports
  • Planning entrances to stores on the model or model / color level
  • Building a sales forecast
  • Building a purchasing budget according to forecast
  • Managing a barcode bank, and allocations in product file
  • Preparing of distribution program; quantities for preliminary distribution, and percentage for completion
  • Selection meeting based on the allocations plan; approval of models and quantities, and allocation of models
  • Tracking of model development in the product file (including quality control of samples)
  • Opening of purchase order; approval of production in product file

The module supports the garment production process from the design stage, with options of connecting to external software such as CorelDRAW

This module provides transparency and tracking of purchasing stages, prevents lateness in supply, monitors the stations in the supply chain and connects the ERP system to all stages of product design
